This Privacy Policy explains how Spiked Media LTD & Your Home Guide LTD ("we", "us", "our") collects, uses, shares, and protects personal data when you use the yourhome.guide website, channels and apps (the "Service"). We provide information about homes and properties — including property details, information from home builders, how homes work, related contact details, documentation, inventory logs and more — to help homeowners, occupiers, and (in the future) other permitted users manage and understand their properties.

We are committed to handling personal data responsibly and in line with the UK GDPR, the EU GDPR, and the Data Protection Act 2018, where applicable. Please read this policy carefully. If you do not agree with it, please do not use the Service.

1. Who We Are (Data Controllers)

Spiked Media LTD, a company registered in England and Wales under company number 07071563, with its registered office at 8 Maplestead Road, London, SW2 3LX, UK ("we"), is the data controller responsible for pre-completed new home data for homes on the platform where initial data has been provided for occupier benefit by your home builder or manager and entered onto the platform by Spiked Media.

Your Home Guide LTD, a company registered in England and Wales under company number 17228977, with its registered office at 8 Maplestead Road, London, SW2 3LX, UK ("we"), is the data controller responsible for custom data added to the platform or modified by all other users.  This feature is not currently available to users.

2. Information We Collect

The information we collect depends on how you interact with the Service.

2.1 Information Provided By Property Stakeholders

  • Property details: postal address, specifications (e.g. number of rooms, areas, configurations etc.), tenancy types (e.g Shared Ownership, Affordable Rent etc.), home system configurations
  • Property and home information: details of a property's systems (e.g. heating, electrical, plumbing, appliances), fittings & fixtures details, warranties, documentation, service history, and inventory logs.
  • Third-party contact details: for example, details of tradespeople, contractors, installers, landlords, letting agents, or other professionals connected to a property
  • Communications: information sent us via forms, email, or support channels.

2.1 Information You Give Us

  • Contact details: name, email address, phone number, postal address.
  • Account information (planned feature — see Section 10): username, password (stored securely, never in plain text), profile details.
  • Property and home information: details of a property's systems (e.g. heating, electrical, plumbing, appliances), fittings & fixtures details, warranties, documentation, service history, and inventory logs.
  • Third-party contact details you provide: for example, details of tradespeople, contractors, installers, landlords, letting agents, or other professionals connected to a property, where you choose to add or share these on the Service.
  • Communications: information you send us via forms, email, or support channels.

  • 2.2 Information Collected Automatically

  • Usage data: pages viewed, features used, time spent, referring/exit pages.
  • Device and technical data: IP address, browser type and version, operating system, device identifiers.
  • Location data: general location inferred from IP address (we do not collect precise GPS location unless you explicitly enable and grant this).
  • Cookies and similar technologies: see Section 6.

2.3 Information From Other Sources

  • Publicly available property or land registry data, where used to help populate or verify records.
  • Information from service providers who help us operate the Service (e.g. hosting, analytics, email delivery).
  • In future, information provided by other permitted users of the same property record (e.g. a co-owner, new occupier, or household member) — see Section 10.

We do not knowingly collect special category data (e.g. health, biometric, or financial account data) through the Service. If a home inventory or system note incidentally includes personal information about identifiable individuals other than you, please ensure you have a lawful basis and, where relevant, their consent, before adding it.

3. How We Use Your Information and Our Legal Basis

Information on our platform is retained for the benefit of the present and future stakeholders of each property. 

Data posted to our platform by a stakeholder solely for their own benefit and review will remain owned by the disclosing party and may be modified or deleted upon request. 

Where data is shared by a disclosing stakeholder for the purpose of temporary disclosure with other recipient stakeholders, ownership will remain with the disclosing stakeholder.  Sharing may be revoked by the disclosing party and the data may be modified or deleted upon request.

Where data is provided by a stakeholder for permanent benefit of the property record to serve present and future stakeholders, it shall held in trust in perpetuity by our platform for the future benefit of the disclosing and recipient parties as well as future property stakeholders.  This information will be considered published and no longer owned any single party.

Where we rely on legitimate interests, we have considered that these interests are not overridden by your rights and freedoms, and you can object at any time (Section 8).

4. Sharing Your Information

We do not sell your personal data.

We may share information with:

  • Service providers / processors: hosting providers, cloud storage, analytics tools, email/communication platforms, customer support tools — bound by data processing agreements and only permitted to use data as we instruct.
  • Other users you designate: for example, if you invite a co-owner, tenant, tradesperson, or household member to view or contribute to a property record (planned feature).
  • Professionals and contractors linked to a property: where a record includes their contact details or information provided by them for your benefit, this information may be visible to other authorised users of that property record.
  • Legal and safety reasons: to comply with a legal obligation, court order, or lawful request from a public authority, or to protect the rights, property, or safety of us, our users, or others.
  • Business transfers: if we undergo a merger, acquisition, restructuring, or asset sale, personal data may be transferred as part of that transaction, subject to equivalent protections.

We require all third parties to respect the security of personal data and to treat it in accordance with the law.

5. International Data Transfers

Our service providers may process data outside the UK/EEA. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or transfers to countries the UK/EU consider to provide adequate protection. 6. Cookies and Similar Technologies

We may use cookies and similar technologies to:

  • Keep the Service running securely (essential/strictly necessary cookies) — these cannot be switched off.
  • Understand how the Service is used (analytics cookies).
  • Remember your preferences.

Where cookies are not strictly necessary, we ask for your consent via a cookie banner/preference tool when you first visit, and you can change your choices at any time via browser settings.

7. Data Retention

We keep personal data only as long as necessary for the purposes described in this policy, including to:

  • Provide the Service to you (e.g. for as long as a property exists).
  • Meet legal, accounting, or reporting requirements.
  • Resolve disputes and enforce our agreements.

When data is no longer needed, we securely delete or anonymise it.

8. Your Rights

Under UK/EU GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data ("right to be forgotten"), in certain circumstances.
  • Restrict processing in certain circumstances.
  • Object to processing based on legitimate interests or direct marketing.
  • Data portability for data you provided to us, processed by automated means, under a contract or consent.
  • Withdraw consent at any time, where processing is based on consent, without affecting prior lawful processing.
  • Lodge a complaint with a supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk); in the EU, your local data protection authority.

9. Data Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and regular security reviews. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we work to minimise risk and respond promptly to any incident.

10. Planned Features: Accounts and User-Added Home Data

We plan to introduce user accounts and the ability for users to add or edit their own home/property information (e.g. inventory items, system updates, contractor records). When this launches:

  • You will control what property or home data you add.
  • You may be able to share access with other users connected to the same property (e.g. co-owners, future occupiers).
  • We will update this policy and notify users of any material changes before these features go live, and, where required, seek your consent.

11. Children's Privacy

The Service is not directed at children, and we do not knowingly collect personal data from children under 13 (or the relevant minimum age in your jurisdiction). If you believe a child has provided us with personal data, please contact us so we can delete it.

12. Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. We will post the updated version here with a new "Last updated" date, and where changes are material, we will provide additional notice (e.g. by email or a notice on the Service).
